Executive Assistant / Receptionist

We’re looking for a true right hand to our CEO stewarding all things accounting, payroll & HR. This role provides both the consistency in processes & the added capacity to keep it all growing! Our hope for this position is that this individual would provide an administrative & relational exponent to the day to day operations of the Cybernautic family of companies! If you’ve worked doing accounts payable & receivable, payroll &/or tax prep in the past, and are looking for more variety & human interaction, this is the job for you!


The Qualifications We Are Looking For:

•    Three to five years’ experience as an Executive Assistant
•    A Passion of International Missions
•    A love for engaging with & helping others
•    Demonstrated proficiency with Microsoft Office and data entry
•    Demonstrated proficiency with Outlook calendaring
•    Sharp problem-solving skills, never afraid to Google a question or problem to find the answer or pick up the phone and be resourceful enough to find the right person or company to help solve a problem
•    Excellent written and verbal communication skills
•    Excellent time management and prioritization skills
•    Ability to write routine reports and correspondence.
•    Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Executive Assistant / Receptionist Job Duties:

•    Provide administrative assistance, such as writing and editing e-mails, and preparing communications on behalf of the CEO.
•    Prepare and modify documents including correspondence, reports, drafts, and emails.
•    Schedule and coordinate meetings, appointments
•    Manage multiple calendars.
•    Coordinate with multiple executives.
•    Answer phones for Cybernautic, Co:Create, Clinton Lake Storage, McBarnes Real Estate, and GOYA, directing calls as necessary or helping customers/donors with needs.
•    Provide a smiling face & intuitive customer service to the many tenants of Co:Create & their visitors.
•    Assist with basic building maintenance tasks
•    Maintaining comprehensive records, files, and correspondence.
•    Handles confidential information; organizes and maintains files.
•    Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
•    Plans/organizes and implements events such as meetings, business luncheons, client meetings, holiday events and staff events.
•    May help plan meetings and employee team building activities or special projects.
•    Someone who sees growth, expansion and business acquisitions as an exciting new challenge, always ready to tackle new things with fun and excitement.
•    Unafraid to pick up the phone and get stuff done and yet still be caring and uplifting to those around you.
•    Performing minor accounting/bookkeeping duties
•    Welcoming visitors and identifying the purpose of their visit and directing them to the appropriate people
•    Prioritizing events and meetings for the CEO
•    Improve CEO’s overall effectiveness by providing information, management support and representing him to others and spearheading projects as needed.
•    Provide and arrange general office, building and grounds upkeep; stocking supplies, cleaning/maintaining common areas, coordinating services, etc.
•    This role serves multiple entities that the executive serves including Cybernautic, Co:Create, Clinton Lake Storage, McBarnes Real Estate, Eastview Christian Church, The Midwest Food Bank, Roxy’s Hair Studio, GOYA Ministries and you can bet there will be more.
•    Provide Cybernautic staff care in times of celebration or in times of grief, and plan staff gatherings, holiday parties, etc.
•    Process contracts, onboard new customers and offload departing customers for CMD Real Estate/Co:Create, McBarnes Real Estate and Clinton Lake Storage
•    Process invoices and payments for CMD Real Estate, McBarnes Real Estate and Clinton Lake Storage, tracking and sending reminders for late payments as well as taking deposits to the bank and recording payments.
•    Represent Chad by attending meetings with Chad when requested and occasionally in his absence; speaking on his behalf.
•    Handle personal assistant responsibilities as needed.
•    GOYA Ministries

  • Occasionally, arrange and communicate with our Kenyan partners on needs, finances, mission teams and day-to-day operations
  • Help coordinate and manage fundraising events and campaigns
  • Help coordinate communication with donors via social media, website, and emails
  • Serve as liaison between the Executive Director and the Board of Directors
  • Assist the various stateside teams as needed: Agriculture Team, Sponsorship Team, Medical Team, Banquet Team

•    In general, help the CEO in every way possible to improve efficiency, effectiveness and productivity. Help provide balance to their work, ministry and family life by coordinating activities, projects and responsibilities with Cybernautic, GOYA Ministries, Co:Create/CMD Real Estate, Clinton Lake Storage, East African Food Bank, Eastview’s Elder team and the Family.
